## Receptionistic AI receptionist setup guide.

A practical guide to setting up your AI concierge and welcoming your first callers.

### Working with an agent or integration

Read the [Receptionistic workspace API reference](https://receptionistic.com/docs/api) and [authentication guide](https://receptionistic.com/docs/auth) for the existing session-bound read endpoints. The [OpenAPI schema](https://receptionistic.com/openapi.json) describes their request and response types, while the [agent instructions](https://receptionistic.com/agent-instructions.md) explain suitable tasks and access requirements. Receptionistic is in private testing; documentation does not grant workspace access.

### Create your workspace

Start with your name, email, and a password of at least 10 characters. Add your business name and industry, then choose the time zone for your calendar. Your business information stays within your workspace.

### Start with your website

Choose Scan website during setup, in Settings, or in Knowledge Sources. We’ll look for business details, hours, services, prices, and FAQs on public pages. Review and edit the results, select what to keep, then apply them to your workspace.

A website scan follows public page links and sitemaps, reading up to 30 pages. Services and FAQs are checked against source wording before you review them. You can also add a single page, upload a UTF-8 .txt, .md, or .csv file, or write a note. Pages that need JavaScript or a login, images, and PDFs need a text-file import instead. Missing details are flagged for you to confirm. Your concierge uses saved business knowledge during calls; it does not search the live web or guess unpublished details.

Refresh a source when your website changes. Applying a refresh replaces that source’s imported entries, so review any edits first. Removing a source removes its imported knowledge, products, and FAQs. Manually added entries and business hours already saved in Settings stay in place.

### Keep products and answers current

Open Products to add, edit, or pause a product or service. Include a description and the price as you want it explained, with details such as “from” or “per visit”. Leave the price empty when clients should ask for a quote. The concierge can describe your offerings and take messages; payments, orders, and stock checks aren’t processed during calls.

Use FAQ for questions and answers about parking, policies, appointments, and other recurring topics. Website imports appear here too, with links back to their source.

### Choose a local number preference

Receptionistic supports US and UK businesses for now. Choose a country during setup and enter a US three-digit area code, or a UK local dialling code with its leading zero, such as 020 or 0161. You can change your preference in Connections.

A saved request waits for provider setup, number availability, and plan activation. Setup does not buy or reserve a number. Choose Twilio or Telnyx in Check availability to search that provider’s current inventory once its credentials are saved. Checking never purchases a number. Leave the area code empty if you plan to connect an existing US or UK number through Twilio, Telnyx, or SIP.

### Set up appointments

Choose each day’s opening and closing times, breaks, and time zone in Settings, or review hours found on your website. Your concierge offers available 30-minute appointments. A booking requires the caller’s name and a clear confirmation.

You can add, cancel, and complete appointments in the workspace and download calendar files. Those files are exports; they do not keep another calendar automatically in sync.

### Try a voice conversation

Choose Test your concierge, select Start call, and allow microphone access. Speak naturally; your concierge replies when you pause. Use the microphone button to pause, resume, or interrupt a reply. End the call whenever you’re finished.

Workspace tests use your own business information and can save confirmed appointments. Their transcripts appear in Conversations. The sample on the public website uses a fictional business and does not save appointments.

### Choose the voice your clients hear

In Receptionist settings, choose Fish Audio for Orby and the other included voices. To use your own Inworld account, select Inworld TTS-2 Flash under Your speech provider, enter its API key and voice ID, then save and verify. This choice applies to workspace previews, concierge calls, and sales conversations.

A saved key stays in place when you leave the replacement field blank. Inworld usage is billed to your Inworld account.

### Connect your line through LiveKit

Open Connections → LiveKit to connect Telnyx or Twilio to your concierge and sales agent. Your phone administrator configures the carrier route and gives you the number, inbound and outbound trunk IDs, and dispatch rule ID. The server address and workspace details are shown in that panel.

Save, verify the routing, then make an incoming test call. Outbound calls also need an outbound trunk and a saved sales approach. Verification checks workspace routing; an actual test call confirms the full conversation.

### Connect a Twilio number

Open Connections → Twilio in your workspace. You can save a draft before you have any credentials. When ready, add your Account SID, Auth Token, and international phone number. Save, then copy the incoming-call and call-status URLs into your number’s Twilio Voice settings, using POST for both.

Verify connection checks your account, number, and callbacks before enabling the line. Make an incoming test call to check the greeting, questions, appointments, and team handoff. A successful verification does not place a call or purchase a number. [Contact us](https://receptionistic.com/contact) if you need help with activation.

### Connect a Telnyx number

Open Connections → Telnyx. Save a draft now, then add your Telnyx API key, public key, US or UK phone number, and TeXML Application ID when ready. Assign the number to an active TeXML application in Telnyx and set its incoming-call and call-status URLs to the callbacks shown in your workspace, using POST.

Save and verify the connection, then make an incoming test call. To transfer callers to your team, configure an outbound voice profile and allow the destination country in Telnyx. Verification checks your number and application settings; it does not purchase a number or place a call. Telnyx fees apply separately.

### Bring your own SIP trunk

Keep your existing carrier and phone number by routing calls through Twilio’s Bring Your Own Carrier gateway. A Twilio account and a carrier that supports this route are required. Add the Twilio credentials in Connections → Twilio, then save your carrier name, number, BYOC trunk SID, and termination domain in SIP trunking.

Configure the carrier route, authentication or IP allowlist, and trunk callbacks in Twilio. Copy the SIP-specific callback URLs from your workspace, select POST, and verify the connection. Team handoffs use this BYOC trunk, so configure its origination policy as well. The [Twilio BYOC guide](https://www.twilio.com/docs/voice/bring-your-own-carrier-byoc) describes the carrier setup.

### Send events to your tools

Open Connections → Webhooks and add up to five endpoints. Save a name without a URL to prepare a draft, or provide a public HTTPS receiver, choose events, and enable delivery. Available events cover call starts, call endings, successful transfers, and appointments created, cancelled, or completed. Each receiver gets its own signing secret.

Your server should verify the X-Receptionistic-Signature header against the exact raw request body before processing an event. Compute HMAC-SHA256 over the timestamp, a period, and the raw body using the signing secret. Compare the signatures in constant time and reject timestamps more than five minutes from the current time. The header contains t=timestamp,v1=signature.

Return a 2xx response when accepted and deduplicate using the event ID. Events can arrive more than once or out of order. Failed deliveries retry after 1 minute, 5 minutes, 30 minutes, and 2 hours. Check delivery history, send a test, or retry a failed event from the workspace. History and delivery payloads are retained for 30 days.

Workspace test calls and appointments booked in those calls are marked as tests. Public demos do not send webhooks. Events may contain caller details and transcripts; send them only to tools you intend to share this information with. Pausing or changing an endpoint cancels its queued deliveries. An in-flight attempt may already have reached your receiver.

### Connect callers with your team

Add a US or UK team phone number in Your concierge, including its country code. When someone asks for a person, your concierge can transfer a connected phone call. If the team doesn’t answer, the request is marked for follow-up.

For a LiveKit line, configure forwarding with your carrier before pausing the concierge if you want calls to reach your team. Direct Twilio and Telnyx callback connections forward to the saved team number when paused; otherwise, they play a message and end the call.
