## Data processing

Practical information for businesses deciding how to use the AI concierge.

Last updated 1 October 2026

### How a conversation is processed

- You choose to start a browser conversation and grant microphone access.
- Audio is sent to the service for transcription using a speech-processing supplier.
- The conversation and relevant business information are processed to prepare an AI reply.
- The reply is converted to audio and played back. Confirmed workspace bookings are stored in your calendar.

The public demo uses fictional business information. Workspace conversations can be stored as transcripts for the business. The application does not save raw browser microphone recordings. For an activated phone service, telecommunications providers also process the connected call.

### Controls and business responsibilities

Workspaces require authentication and use business-specific access checks. Account holders can export workspace data from Settings, manage supported contacts and knowledge entries, and request deletion. The privacy notice describes the current retention behaviour, including records that do not yet have an automatic purge.

Clients generally control their callers’ information. Limit the information provided to what is necessary; configure accurate business answers, AI identification, caller notices, and an appropriate human contact route. Do not send sensitive or regulated information until your contractual, security, retention, and consent requirements have been assessed.

We do not currently publish independent security certification, a universal regulatory-compliance guarantee, or a guaranteed data-residency region.

### Request the arrangements you need

Contact [privacy@receptionistic.com](mailto:privacy@receptionistic.com) to discuss a data-processing agreement, supplier details, countries of processing, international-transfer mechanisms, retention and deletion arrangements, incident reporting, and any sector-specific obligations. These must be appropriate for your deployment before the relevant business processing starts.

This page describes the current service. It is not an executed data-processing agreement, a set of signed standard contractual clauses, or a healthcare business associate agreement. See the [privacy notice](https://receptionistic.com/privacy) and [service terms](https://receptionistic.com/terms).
